About a year and a half ago, I had just gone full time. I quit my job in November, and left college in February to pursue my dream job full time. My business was thriving; from photography (branding, weddings, and small business) to meeting with clients and other creatives alike. I was TOO busy and many areas were lacking. While the business and systems side of running an actual business is one of my favorite parts, I was spending too much time working on the back end and not enough time loving the people around me.
Honeybook fell into my lap by accident and truthfully, I didn’t know its full potential until months later. When I first joined HoneyBook, the main catch for me was digital contracts. Prior to my digital days, my clients were printing a wedding contract, signing, scanning, and emailing back. The first phase of my honeybook knowledge pretty much only used this feature, but that was all soon to change.
Once I started working through honeybook and talking to friends, I realized that the possibilities were ENDLESS. I started pre-setting email templates, questionnaires, proposals, brochures all digitally, and automated. Suddenly, I had my whole life back and I was loving my clients so much harder than before. It took me about a week to preset all my templates and workflows on Honeybook (and I still revamp them occasionally as time goes by to fit my current business model/clientele!) Now, my workflow is automated and works for me. I now have my life back, but also a very organized and professional workflow. All of my clients receive the same love and attention from me and my team.
When you first log on to honey book on your desktop or mobile app, you’ll find your scheduled events, tasks, reports, to-do’s, etc,. I find this helpful to delegate my tasks each day to which item needs my attention first!
All of my projects start as an inquiry on my website. From the initial inquiry, a ‘project’ or client portal is created in HoneyBook.
After the inquiry comes in, I will send a copy of my Wedding Pricing Guide in the form of an email template I previously created.
From beginning to end, all my clients receive the same love and attention. While I do share many personal conversations and adjust my workflow to meet the needs of each individual client, every one of my lovely couples receives the same resources.
I have preset templates to serve as resource guides to my clients. I present them with wedding tips, timing information, style guides, and even how-to’s! I want to make sure all my clients feel valued and in the know-so I have automated workflows to send out those tips during key points in their wedding planning timelines.
For instance, six months out from the wedding date I may sent a resource about how to prepare your wedding timeline and things to consider while building your day of itinerary. Shortly afterward, I will follow up and request a phone call or in person meeting with the couple to build the timeline together.
Another Preset template I use is the proposal. I send all my clients a proposal upon booking. The scope of work, payment plan, and contract is all included inside the proposal. At the end, clients will have the chance to digitally sign and pay their retainer fee to book their date! This allows for easy communication and reference for both parties to fall back on should they need to at a later date. Records all always stored online for easy access.
Check your tasks and to-do’s each day with the workflow options. I use this to organize where I stand with each client.
I LOVE HoneyBook’s calendar option. I actually just switched from a paper planner to a system with Honeybook/Google Calendar (they integrate!) in the last few months and it has been a life saver. I typically use the calendar on the go using the mobile app!
